This Privacy Policy explains how Drive Safe Solutions collects, uses, stores, protects, and discloses information when companies and their authorized users access our software-as-a-service platform.

1. About This Privacy Policy

Drive Safe Solutions provides software that helps designated-driver and driver-service companies manage jobs, driver pairs, clients, trip activity, kilometre records, rates, invoices, reports, company users, and related business operations.

This policy applies to information handled through the Drive Safe Solutions website, platform, account pages, support channels, subscription services, and related services. It does not govern the independent privacy practices of customer companies using the platform.

2. Our Role and Your Company’s Role

When a customer company enters information about its clients, employees, drivers, jobs, trips, invoices, or business operations, that company controls why the information is collected and how it is used. Drive Safe Solutions processes and stores that information to provide the platform.

Customer companies are responsible for providing any notices, obtaining any required consent, assigning appropriate user permissions, and complying with privacy laws that apply to their own operations and records.

3. Information We Collect

Depending on how the platform is used, we may collect or process:

Account details, including names, email addresses, usernames, and login information
Company information, including company name, contact details, account status, and subscription plan
User roles, permissions, team assignments, and company membership
Client and job information entered by authorized company users
Pickup, drop-off, trip, route, kilometre, wait-time, status, and active-note records
Driver-pair, employee, dispatcher, manager, owner, billing, and viewer records
Rates, invoice details, tips, payment status, reports, and business records
Support requests, feedback, communications, and account-related correspondence
Device, browser, IP address, login, security, error, and platform-usage information
Billing and transaction information received from payment processors

We do not need or intend to collect more personal information than is reasonably necessary to provide, secure, support, and improve the platform.

4. Information Provided by Customer Companies

Customer companies and their authorized users decide what operational information they enter into the platform. This may include personal information relating to their clients, workers, contractors, drivers, managers, dispatchers, support staff, and other business contacts.

Users must only enter information they are authorized to collect, use, store, and disclose. The platform must not be used to collect unnecessary, unlawful, misleading, or excessively sensitive information.

5. How We Use Information

We may use information to:

Create and maintain accounts and company workspaces
Provide dispatch, job, team, trip, client, invoice, rate, and reporting features
Authenticate users and apply roles and permissions
Process subscriptions and confirm payment status
Provide customer service and respond to support requests
Maintain platform reliability, security, backups, and fraud prevention
Investigate errors, misuse, unauthorized access, and technical problems
Improve platform performance, usability, and features
Send service, security, billing, account, and legal notices
Comply with legal obligations and enforce our Terms of Service

6. Consent and Other Lawful Authority

We collect, use, and disclose personal information with consent where consent is required. Consent may be express or implied depending on the circumstances, sensitivity of the information, and applicable law.

In some circumstances, applicable law may permit or require information to be collected, used, or disclosed without consent, including for security, fraud prevention, legal proceedings, emergencies, debt collection, or compliance with lawful requests.

7. Billing and Payment Processors

Subscription payments may be processed by third-party payment providers, including Square. Drive Safe Solutions may receive transaction identifiers, subscription status, payment confirmation, billing contact information, refund or dispute status, and limited payment-related details.

Full payment-card information is generally entered directly into the payment processor’s systems and is governed by that provider’s privacy and security practices. Drive Safe Solutions does not need to store full card numbers to provide normal subscription access.

8. Cookies and Similar Technologies

The website and platform may use cookies, sessions, local storage, and similar technologies that are necessary for login, authentication, security, user preferences, account continuity, and platform operation.

We may also use limited analytics or diagnostic technologies to understand platform performance and errors. Where required, additional consent choices will be presented before non-essential technologies are used.

9. When We Disclose Information

We may disclose information:

To authorized users within the same customer company, according to their roles and permissions
To hosting, infrastructure, email, support, security, backup, analytics, and payment service providers
When a customer company instructs us to export, transfer, or provide its information
To investigate suspected fraud, misuse, security incidents, or violations of our terms
When required by law, court order, subpoena, warrant, or another lawful process
To protect the rights, safety, systems, users, or property of Drive Safe Solutions or others
As part of a business financing, reorganization, sale, merger, or transfer, subject to appropriate safeguards

We do not sell personal information as a data-broker business.

10. Service Providers

We may use third-party service providers to operate and support the platform. These providers may process information only as needed to perform services for us or our customers and may be subject to contractual, legal, technical, and organizational safeguards.

Service providers may operate in Canada, the United States, or other jurisdictions. Information processed outside a user’s province or country may be subject to the laws and lawful access requirements of that jurisdiction.

11. Information Security

We use reasonable administrative, technical, and organizational safeguards designed to protect information against loss, theft, unauthorized access, disclosure, copying, use, alteration, and destruction.

Company-based roles and permissions
Secure server and database practices
Transport encryption where supported
Logging, monitoring, maintenance, and security review
Backups and recovery procedures appropriate to the service

No online system can be guaranteed completely secure. Users must protect their passwords, devices, email accounts, and access credentials and must promptly report suspected unauthorized access.

12. Privacy and Security Incidents

If we become aware of unauthorized access, use, disclosure, loss, or another security incident involving personal information, we will investigate and take reasonable steps to contain and address the incident.

Where required by applicable law, we will notify affected organizations, individuals, privacy regulators, or other authorities and maintain required records of the incident.

13. Retention and Deletion

We retain information only for as long as reasonably necessary for the purposes described in this policy, to provide the service, maintain business and security records, resolve disputes, enforce agreements, and satisfy legal, tax, accounting, backup, and regulatory requirements.

Retention periods may vary depending on the type of information, customer instructions, subscription status, legal requirements, and whether the information is stored in active systems or temporary backups.

When information is no longer required, we may delete, destroy, anonymize, or securely isolate it, subject to applicable law and technical limitations.

14. Access, Correction, and Account Requests

Individuals may request access to personal information held by Drive Safe Solutions and may request correction of information that is inaccurate or incomplete, subject to identity verification and legal exceptions.

Information entered and controlled by a customer company should normally be requested from that company first. We may refer the request to the applicable company or assist that company in responding where appropriate.

Account holders may also update certain profile or company information directly through available account settings.

15. User Choices and Withdrawal of Consent

Where processing is based on consent, an individual may withdraw consent, subject to legal or contractual restrictions and reasonable notice.

Withdrawal of consent may limit our ability to provide an account, feature, subscription, support service, or other part of the platform when the information is necessary for that service.

16. Children and Minors

Drive Safe Solutions is a business platform and is not directed to children. Customer companies must not create accounts for, or enter personal information about, minors unless they have lawful authority and the information is necessary for a legitimate business purpose permitted by applicable law.

17. Third-Party Websites and Services

The platform may contain links to third-party websites or services. Drive Safe Solutions is not responsible for the privacy, security, content, or practices of third parties. Users should review the privacy policies of those services before providing information to them.

18. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. The revised policy will be posted on this page with an updated effective date. Where appropriate, we may also provide notice through the platform, by email, or through another reasonable method.
